Media Volunteer, Content Creator and Press Terms & Conditions

These Terms & Conditions apply to all approved media volunteers, content creators, influencers, automotive spotters, press representatives, drone operators, photographers, videographers and media teams participating in or covering the Supercar Rhino Run.

By submitting an application, accepting accreditation, joining any official media communication channel, attending any event location, or capturing content at the event, you agree to these Terms & Conditions.

1. Volunteer Media Participation
1.1 Participation as a media volunteer, content creator, press representative or media team member is voluntary.
1.2 Unless otherwise agreed in writing, no payment, fee, travel reimbursement, equipment cost, editing cost or other compensation will be provided for participation.
1.3 Approval to participate is not guaranteed and remains at the discretion of the Supercar Rhino Run organisers, Ferris, SAIL, Big On Digital and authorised event representatives.
1.4 Accreditation may be limited based on venue capacity, access restrictions, safety requirements, operational needs and the suitability of the applicant.
1.5 Approved media participants may be allocated to specific locations, zones, time slots or content priorities. Approval does not grant unrestricted access to all event areas.
1.6 The organisers reserve the right to approve, decline, restrict, reallocate or revoke media access at any stage.
2. Media Categories
Approved applicants may be categorised as one or more of the following:
  • Official allocated media support
  • Volunteer photographer
  • Volunteer videographer
  • Content creator
  • Influencer
  • Automotive spotter
  • Press or editorial media
  • Drone operator
  • Social media page or automotive community representative
  • Other approved contributor
Each category may receive different access, responsibilities and content expectations.
3. Pre-Event Marketing Participation
3.1 Approved media participants may be invited to assist with pre-event awareness by sharing approved Supercar Rhino Run content on their own social media channels.
3.2 Pre-event sharing is voluntary unless otherwise agreed in writing. However, applicants who opt in to support pre-event awareness are expected to share content responsibly and in line with the approved event messaging.
3.3 Approved participants may be asked to share one or more of the following:
  • Instagram stories
  • Instagram reels
  • Static posts
  • Tik Tok videos
  • YouTube shorts
  • Long-form YouTube content
  • Facebook posts
  • LinkedIn posts
  • Blog articles
  • Press articles
  • Ticket link shares
  • Sponsor or partner mentions
3.4 All pre-event content must use the correct event name: Supercar Rhino Run.
3.5 Where requested, approved participants must include the official hashtag: #SupercarRhinoRun.
3.6 Where requested, approved participants must include the wording: Powered by Ferris.
3.7 Where relevant, approved participants must tag the official event pages, sponsor pages, partner pages and any other pages supplied in the official media pack.
3.8 Where relevant, approved participants may be asked to share the official spectator ticket link or event registration link.
3.9 Approved participants may not publish misleading, incorrect, outdated or unauthorised event information.
3.10 Approved participants may not announce restricted operational details, private start locations, child-related arrangements, security information, driver information or route details unless these have been approved for public release.
3.11 The organisers may request that inaccurate, unsafe or unsuitable content be corrected, edited, archived or removed.
4. On-The-Day Media Conduct
4.1 All media participants must conduct themselves respectfully and professionally at all times.
4.2 Media participants must follow all event, venue, marshal, security, organiser and safety instructions.
4.3 Media participants may not obstruct drivers, children, guests, spectators, officials, sponsors, partners, marshals, emergency teams or other media teams.
4.4 Media participants may not enter restricted areas without written or verbal approval from authorised event representatives.
4.5 Media participants may not interfere with vehicle movement, public safety, emergency access, the Guinness World Record attempt, sponsor activations, VIP hospitality or official event operations.
4.6 Media participants may not create unsafe shots, encourage dangerous driving, stand in unsafe positions, lean into moving vehicles, block convoy movement or place themselves or others at risk for content.
4.7 Media participants must respect the rhino conservation purpose of the event and ensure that their conduct supports the reputation and mission of the Supercar Rhino Run.
4.8 The organisers may remove any media participant from a location or the event entirely if their behaviour is considered unsafe, disruptive, disrespectful or harmful to the event.
5. Child and Vulnerable Person Media Guidelines
5.1 The Supercar Rhino Run may include children and vulnerable persons, including children connected to charitable or community organisations.
5.2 Media participants may not photograph, film, publish or distribute identifiable images or footage of children or vulnerable persons unless specifically approved by the event team.
5.3 Media participants must follow all child safeguarding, privacy, dignity and media consent instructions issued by the organisers.
5.4 Some moments, locations or activities may be restricted for child privacy and dignity.
5.5 Media participants may not ask children for personal details, interviews, poses, names, contact information or direct social media engagement.
5.6 Media participants may not publish content that could embarrass, exploit, identify, endanger or misrepresent a child or vulnerable person.
5.7 The organisers may request immediate deletion, removal or non-publication of child-related content where required.
6. Drone Use
6.1 Drone use is strictly prohibited unless written approval has been granted by the organisers.
6.2 Drone approval is not automatic and may be subject to venue permissions, airspace restrictions, safety requirements, pilot certification, insurance, compliance documentation and operational limitations.
6.3 Drone operators must provide all requested documentation before approval is considered.
6.4 Approved drone operators must follow all aviation, venue, safety, security and event instructions.
6.5 Unauthorised drone use may result in immediate removal from the event and possible reporting to the relevant authorities.
6.6 Drone operators may be restricted to specific locations, times, flight paths or shot requirements.
7. Content Capture and Delivery
7.1 Approved media teams may be asked to capture specific event moments, sponsor visibility, public experiences, driver experiences, conservation storytelling, entertainment features and post-event content.
7.2 Approved content teams agree to submit selected content after the event according to the requested file delivery structure and timelines.
7.3 Unless otherwise agreed, the requested delivery timeline is:
  • Same day: 5 to 10 preview selects from priority teams, where possible
  • Within 24 hours: social-ready highlights, best images or short-form clips, where possible
  • Within 72 hours: edited albums, reels or short-form content
  • Within 7 days: full selected event folders
  • Within 14 days: long-form edits, press features, drone edits or extended video content, where applicable
7.4 Content must be submitted through the approved delivery method, such as Google Drive, Dropbox, WeTransfer or another platform confirmed by the event team.
7.5 Files must be named and organised according to the requested folder structure.
7.6 Media participants must not submit unlawful, offensive, unsafe, misleading, defamatory or rights-infringing content.
7.7 Content should not include music, graphics, logos or third-party material that the event team does not have permission to use.
8. Usage Permission
8.1 By submitting content to the Supercar Rhino Run, the media participant grants Supercar Rhino Run, Ferris, SAIL, Big On Digital, event organisers, sponsors, partners, approved beneficiaries and authorised representatives permission to use selected submitted content for event-related marketing, public relations, sponsor reporting, social media, website use, newsletters, media packs, presentations, internal reports, future event publicity and post-event communications.
8.2 This permission applies to submitted photographs, videos, drone footage, reels, short-form clips, long-form edits, written articles and other approved media assets.
8.3 Submitted content may be edited, cropped, resized, reformatted, compiled, captioned, branded or adapted for different platforms, provided the content is not intentionally misrepresented.
8.4 Credit will be given where reasonably possible, using the credit name, handle or business name supplied by the media participant. However, credit cannot be guaranteed in every use case, especially where platform limitations, design layouts, sponsor reports, paid advertising formats or media placements do not allow for it.
8.5 The media participant confirms that they have the right to submit the content and grant the usage permission described above.
8.6 The media participant remains responsible for ensuring that their submitted content does not infringe the rights of any third party.
8.7 No additional payment, licence fee or approval will be required for approved event-related use of submitted content, unless otherwise agreed in writing.
9. Credit and Tagging
9.1 Media participants must provide their preferred credit name and social media handles.
9.2 Where reasonably possible, the event team will credit creators when using their content.
9.3 Media participants are encouraged to tag the official event, Ferris, sponsors and partners where relevant.
9.4 Media participants may not imply that they are an official sponsor, organiser, partner or paid representative of the event unless this has been approved in writing.
10. Brand and Messaging Guidelines
10.1 The correct event name is Supercar Rhino Run.
10.2 The official event hashtag is #SupercarRhinoRun.
10.3 Where requested, the event must be referred to as Powered by Ferris.
10.4 The primary social media handles to use are:
  • Supercar Rhino Run: @supercarrhinorun
  • Ferris: @ferriscarssa
10.5 Additional sponsor, partner and beneficiary handles may be supplied in the official media pack and should be used where relevant.
10.6 Media participants must respect the event's conservation purpose and avoid messaging that undermines the charitable, family-friendly or public-facing nature of the event.
10.7 Media participants may not publish content that promotes reckless driving, illegal road behaviour, unsafe conduct, offensive language, discrimination, exploitation, misinformation or reputational harm.
11. Accreditation and Access
11.1 Accreditation may be required for certain areas.
11.2 Accreditation is personal and may not be transferred to another person.
11.3 Accreditation does not guarantee access to all event areas.
11.4 The organisers may issue different access levels to different media participants.
11.5 Lost, shared or misused accreditation may result in access being revoked.
12. Personal Information and Communications
12.1 Media applicants agree that their personal information may be collected, processed and stored for application review, accreditation, communication, safety, event planning and post-event content management purposes.
12.2 Personal information may be shared with authorised event organisers, SAIL, Big On Digital, venue representatives, safety teams or relevant partners where required for event operations.
12.3 Media participants may be added to official communication channels, including email and WhatsApp groups, for event-related updates.
12.4 Media participants agree to use official communication channels respectfully and only for relevant event communication.
13. Indemnity and Limitation of Liability
13.1 Media participants attend and participate at their own risk.
13.2 Media participants are responsible for their own equipment, transport, personal belongings, insurance, safety and conduct.
13.3 The organisers are not responsible for loss, theft, damage, injury, equipment failure, missed content opportunities, access restrictions, cancelled activities, weather disruption, delays or operational changes.
13.4 Media participants indemnify Supercar Rhino Run, Ferris, SAIL, Big On Digital, event organisers, sponsors, partners, venues, contractors, employees, volunteers and authorised representatives against claims, losses, damages, costs or liabilities arising from their participation, conduct, equipment, content, publication, drone use or breach of these Terms & Conditions.
14. Changes, Restrictions and Removal
14.1 The event programme, locations, routes, access points, timings, media areas, sponsor requirements and content priorities may change at any time.
14.2 The organisers reserve the right to update instructions before or during the event.
14.3 Access may be restricted, changed or revoked for safety, security, venue, privacy, operational or reputational reasons.
14.4 Failure to follow these Terms & Conditions may result in removal from the event, removal from communication channels, refusal of future accreditation or a request to remove published content.
15. Acceptance
By applying, accepting approval, attending the event, joining official communication channels, capturing content or submitting content, the media participant confirms that they have read, understood and agreed to these Terms & Conditions.
